Graduate Visa 485 Checklist: Everything You Must Prepare

Last Update

After graduation, are you planning to submit your 485 visa application? Don’t be worried! Here is a detailed checklist of all the things you need arranged according to the time frame.

Gathering documents may seem really difficult, but this guide is here to help you clarify the situation and thus make the process a lot easier. You will learn which documents are required, when to get them, how to sort them out, and how to keep track so that you won’t be in a panic at the last moment. We will guide you through preparation before graduation, document collection, the application phase, and finally, the quality check of your application.

At Parish Patience Immigration Lawyers, we help graduates like you to confidently move from studying to the next phase by making the process panic-free rather than overwhelming.

The Big Picture: Timeline Overview

Knowing the overall timeline helps you plan which tasks go when:

12-16 Weeks Before Graduation (Start Here):

  • Confirm when your university expects to notify you in writing that you have completed all academic requirements.
  • Check that the course you intend to rely on is registered on CRICOS.
  • Ask when your university can issue your course-completion letter and final academic transcript.
  • Review the subclass 485 eligibility criteria, including the age, visa, study and stream requirements.
  • Start considering whether you need an English-language test.
  • If you intend to apply under the Post-Vocational Education Work stream, investigate the nominated occupation and skills-assessment requirements.

8-12 Weeks Before Graduation:

  • Book an accepted English-language test if you are not exempt.
  • Review the Australian Federal Police check requirements, but make sure the check is requested within the permitted timeframe.
  • Ask your university how and when official transcripts and the completion letter will be available.
  • Compare adequate health-insurance options.
  • Check the expiry date of your passport and your current visa conditions.

4–6 Weeks Before Course Completion

  • Compile the documents that are already available.
  • Make sure names, dates and passport details are consistent.
  • Arrange certified copies or English translations where required.
  • Create or check access to your ImmiAccount.
  • Decide which subclass 485 stream applies to your qualification.
  • Prepare to activate adequate health insurance from the required date.

Within Six Months After Course Completion

  • Lodge the subclass 485 application within six months of the official course-completion date.
  • Make sure the course was completed at least one day before lodging the visa application.
  • Pay the applicable Visa Application Charge shown in ImmiAccount.
  • Attach the required evidence at the time of application.
  • Make sure evidence of applying for the correct AFP check is available before lodging.

2-4 Weeks Later:

  • Expect visa grant notification (if all is good).

The total time needed for preparation is ideally 3-4 months. The best advice is to start now. Do not delay till graduation. In case of any delays (police clearance takes longer, transcript gets delayed), you will need buffer time.

12-16 Weeks Before Graduation: Early Prep Tasks

485-visa-preparation-timeline-stages-graduate-australia

This stage is basic work and takes less time, but it prepares you well:

Confirm Your Course-Completion Date

Check when your education provider expects to notify you that you have met all the academic requirements for your qualification.

The important date is the official course-completion date, not necessarily the graduation ceremony or degree-conferral date.

For subclass 485 purposes, the completion date is generally the date you first met the academic requirements for the qualification and were notified in writing by your education provider.

Your application must generally be lodged within six months of this date.

Verify CRICOS Registration

Check that the course or courses you intend to rely on are registered on the Commonwealth Register of Institutions and Courses for Overseas Students.

CRICOS registration alone does not establish eligibility. The Australian study requirement generally also requires eligible study equivalent to at least two academic years, or 92 CRICOS-registered weeks, completed over at least 16 calendar months in Australia.

Request Completion-Letter Information

Contact your university’s international student office or student administration team.

Ask:

  • When will the completion letter be issued?
  • How will you receive it?
  • What information will it contain?
  • When will the final academic transcript become available?
  • Can the university include information about credits, distance learning, campus location and study load where relevant?

The completion letter should contain the details required by Home Affairs. Being informed early can help avoid a last-minute rush.

Verify Your Academic Record

Make sure your subjects, results and credits are recorded correctly.

GPA is not a general subclass 485 eligibility requirement. However, unresolved grades or incorrectly recorded credits may delay confirmation that you have successfully completed the course.

If you received recognition of prior learning or course credits, consider obtaining advice about how those credits affect the Australian study requirement.

Review Your Age and Visa Status

Most primary subclass 485 applicants must be 35 years old or younger when applying.

Limited exceptions may apply to:

  • Applicants using a master’s degree by research or doctoral degree for the Post-Higher Education Work stream
  • Hong Kong passport holders
  • British National Overseas passport holders

You must also meet the applicable student-visa or recent-visa requirements and normally be in Australia, but not in immigration clearance, when applying as the primary applicant.

Research English-Language Tests

Applicants may satisfy the English requirement by holding a valid passport from:

  • The United Kingdom
  • The United States of America
  • Canada
  • New Zealand
  • The Republic of Ireland

Other applicants generally need an accepted English-language test result obtained within the 12 months immediately before lodging the visa application.

Home Affairs currently accepts several tests, including IELTS, PTE Academic and TOEFL iBT, as well as other specified tests. Required scores differ between tests and may depend on when the test was taken.

8-12 Weeks Before Graduation: Core Document Gathering

This is your main preparation phase; several tasks run in parallel.

English Proficiency Test (Critical):

  • Take IELTS, PTE or TOEFL. For example, IELTS overall 6.5 with no band below 5.5 is the current standard. IDP IELTS Australia
  • Must be done within one year of your 485 application date. It is smart to book early.

Timeline: Book test ASAP (slots fill up), wait for results (~1-2 weeks typical). Budget 4-6 weeks total.

Pro tip: Schedule your tests 6-8 weeks before your graduation so you have a buffer in case you need to retake.

Police Clearance (Lengthy Process):

  • Get your Australian Federal Police (AFP) clearance. The whole process can be 8-12 weeks or even longer.

Requirements: Valid passport, an Australian address, email, and a payment method. Actual timeline: It is advisable to order AFP clearance around 10-12 weeks prior so that you do not face any delay.

University Documents

  • Order official transcripts from your educational institution. The total cost is around $20-50 for each copy; time taken for processing is about 1-3 weeks. Minimum order of 2-3 copies is recommended (1 for your 485, 1 as a backup).
  • Completion Letter: Typically, it is given at the end of the period that corresponds to your graduation date. Inquire with your university about the schedule.
  • Course Completion Certificate/Degree: An official “testamur” or certificate. If necessary, get a certified colour copy.

Health Insurance (OVHC)

  • Obtain quotes for Overseas Visitor Health Cover from providers.
  • Activate a policy that covers you from the application date. Proof of active OVHC is required for 485.

All these tasks happening now mean you’ll arrive at application-ready, not scrambling at the last minute.

4-6 Weeks Before Graduation: Document Finalisation

Consolidate your documents. Now get all the papers together and be certain that everything is in order.

1

Personal Documents:

  • Passport: a colored reproduction of the bio page (both sides). If relevant, please add visa stamps as well.
  • Character/Police documentation: your AFP clearance should be prepared.
  • Further identity proofs if required.

2

Education Documents:

  • Transcripts from the official sources: verify that they include topics, marks and the date of graduation.
  • Academic credentials: verified colour copy.
  • Proof of CRICOS registration: your program’s screenshot from the register, which is a confirmation of eligibility.
  • Letter of completion: either prepared or in progress.

3

Language Proficiency:

  • Check result publication dates in English, as they must be from within a certain time span.
  • Check that the scores meet the institution’s set criteria.

4

Health Documentation:

  • OVHC insurance proof: certificate showing cover starts.
  • Other health/character proofs if required.

5

Application Preparation:

  • In the event that your ImmiAccount has not been created yet, go ahead and create it now.
  • Create a particular folder on your device and give it the name: “485 Application Documents”, and inside it, create the subfolders (Personal, Education, Language, Health, Other).
  • Prepare the documents by scanning/uploading them in colour, readable, and with good resolution.

When submitting your application, by doing this “check and verify” procedure, you make sure that there will not be any major surprises.

2-4 Weeks Before Application: Final Quality Check

Before submitting your 485 application, triple-check everything.

Document Quality:

  • The quality of the scans is top-notch; the colours are vibrant, the texts are sharp and completely visible in all corners.
  • The file sizes are not too big (<10 MB each) so that the upload goes without any problem.
  • There is a uniformity of names, dates and course codes throughout all the documents.

Information Accuracy:

  • All documents portray your full name correctly in exactly the same manner.
  • Date of birth has the same value everywhere.
  • Passport number is right.
  • Email address is right (Department will use this for contacting you).
  • You have chosen the right stream (Post-Higher Education vs Post-Vocational).
  • The documents you provided correspond to the stream requirements (duration, degree type).

Fee Payment Ready:

  • Process your application charge for the principal applicant (1,945 Australian Dollars) via your credit card.

Final Reality Check:

  • Do you meet all these?
Can you submit your application within half a year after graduation?
  •  Is it true that you possess all the mentioned documents?
  •  Are the scanned copies of your documents easy to read and well-organised?
  •  Is your health insurance still valid?
  •  Do you have an ImmiAccount already?

If your response to all was “Yes,” then you are good to go for submission.
